January 6, 2022

1) ADP Payroll – added an ADP Payroll option to the main accounting menu

a. Export Setup Screen: remember to press the defaults button after these values are initially set to save them from one session to another

i. Date Range – based on date payroll was paid

ii. Export File – the name of the export file (over-written if it exists)

iii. Company Code – ADP payroll company code

iv. Batch ID – ADP batch ID number

v. File Number –

1. Optional setting to provide a default technician ID number to any technician that is not set up correctly (debug feature)

2. Note that a technician will not be exported without an ADP technician number and/or the global file number.

vi. Batch Description – description of batch being sent to ADP

b. Export History Screen: the date is based on the date payroll was paid

i. User can change the ADP export date for an individual transaction

ii. User can reset (clear) the ADP export date for every transaction that is tagged

2) Account Code Setup – added the ability to specify the ADP payroll rate number used for the account code

3) Summary Sales/Profit/Accounting WIP Reports – added subtotals to the report that are based on the account group and/or type.

January 21, 2022

1) Quick Books Desktop Sales Tax – added the ability to export RM sales tax totals to the QB desktop sales tax account and sales tax vendor. This feature is designed for shops that have a single flat rate sales tax that is applied to the entire amount.

a. RM Account Code Setup: new option for QB Desktop tax setting

i. Flag as not taxable – use this option for all non-taxable accounts and/or when the sales tax vendor information is not sent to QB desktop.

ii. Flag as taxable – use this option for all taxable accounts when the sales tax vendor information is sent to QB desktop.

iii. Do not export – use this option for sales tax accounts when the sales tax vendor information is sent to QB desktop.

b. QB Desktop Export Setup: added a sales tax tab for how to export sales tax data to a QB sales tax vendor.

i. Sales Tax Account – the name of the sales tax account in QB desktop

ii. Sales Tax Item – the name of the sales tax invoice item in QB desktop

iii. Sales Tax Vendor – the name of the vendor used to pay sales tax in QB desktop

iv. Sales Tax Amount –

1. Do not export sales tax amount: use this option unless exporting sales tax to a QB sales tax vendor. The sales tax will be exported to the RM account codes (no change from prior releases).

2. Export tax 1 only: select this option to export the tax 1 total to the QB sales tax vendor.

3. Export all tax as total: select this option to export all 5 tax totals to the QB sales tax vendor.

2) Accounting Office Report – added an option to export the detailed report as a CSV file.

1) RO Search – added a search button to the “All RO” list display. This button will create a new RO list display based on the filter option(s) entered. All criteria entered must match for the RO to be on the list display.

a. Search Criteria

i. Date in date range (required)

ii. Date out date range

iii. Insurance

iv. Writer

v. Grand total amount range

b. List Display

i. The initial order for the list display is the date in.

ii. The list display columns can be sorted by left-click on the header column.

iii. There are additional column(s) that can be hidden/viewed by right-click on the column header.

1) QB Desktop Interface – added an option to automatically filter transaction(s) that have already been exported to QB off the list display. There is a “Show Only New” check box on each export list display to show only transaction(s) that have not been exported. This is turned on by default when the list display is opened.

2) Help… About Screen – added the server name and the client workstation name to the help… about screen.

3) Account Code Entry –

a. Earnings Code: added an ADP payroll earnings code to correspond to the “Hours 3 Code” in the ADP payroll export file.

b. Rate Code: the rate code was changed from a single digit to a single character because some shops may use an alphabetic rate code in their ADP payroll setup.

4) ADP Payroll CSV Export – made changes (essentially a re-write) or the ADP payroll export after receiving ADP documentation from the shop that wants this feature.

a. Export Options:

i. Date Range – based on date payroll was paid

ii. Export Path – the folder where the export file will be saved

iii. File Name – ADP has 2 formats for the CSV file name, depending on how the shop has set up their ADP payroll system

1. PR*.CSV: the file name begins with PR, and the rest of the file name is based on the other information entered in the export options.

2. EPI*.CSV: the file name begins with EPI, and the rest of the file name is based on the other information entered in the export options.

3. Custom: the user can enter their own custom file name if they intend to modify the CSV file generated before importing into ADP.

iv. Company Code – this is usually a 2- or 3-character code provided by ADP to indicate the payroll company.

v. Company Group – if the shop uses a company group, the group name should be entered here to be part of the export file name.

vi. Batch ID – based on the ADP documentation, this may be the same for every export, or a different value set for each export. It is a shop preference.

vii. File Number – if the shop wants a default file number (employee ID) for any technician that does not have an ADP employee ID, enter the value here.

viii. Batch Description – this will probably be the same for every export unless the shop wants to include the export date in the description string.
